Bekin Consulting (Pty) Ltd, registration number 2017/344819/07 (“Bekin Consulting”, “we”, “our”, “us”), is committed to protecting your privacy and to ensuring that your personal information is collected and used properly, lawfully and transparently, in accordance with the Protection of Personal Information Act 4 of 2013 (“POPIA”) of South Africa.
This policy explains what personal information we collect when you use our website, our free business tools, or any of our registration, tax and compliance services, and what we do with it.

3. Our Information Officer
In terms of section 55 of POPIA, the Managing Director of Bekin Consulting (Pty) Ltd acts as our Information Officer and is responsible for how we handle personal information.

4. Information we collect
The information we collect depends on the service you ask us to provide. It may include:
- Identity information — full name and surname, South African ID number or passport number, date of birth, nationality and certified copies of identity documents.
- Contact information — email address, telephone and WhatsApp number, physical and postal address.
- Business information — company or organisation name, registration number, income tax and VAT numbers, details of directors, members, trustees or office bearers, share or member interest details, and beneficial ownership information required by CIPC.
- Financial information — banking details, proof of payment, turnover figures and supporting financial records where these are needed for a registration, tax submission or tender application.
- Compliance documents — proof of address, bank confirmation letters, constitutions, founding documents, resolutions and similar supporting documents.
- Employee information — where you use our payroll, COIDA or UIF services, we process information about your employees, including their names, ID numbers, salaries and banking details.
- Technical information — IP address, browser type, device information and pages visited, collected automatically when you use our website.
Special personal information
When we assist with church, religious organisation, NPO or PBO registrations, we may process information about religious or philosophical beliefs. This is “special personal information” under POPIA. We process it only with your consent and only to the extent needed to complete the registration you have asked us to handle.
5. How we collect information
- When you complete an enquiry or application form on our website.
- When you contact us by email, telephone or WhatsApp.
- When you engage us to deliver a service and send us supporting documents.
- Automatically, through cookies and similar technology, when you browse our website.
- From public registers such as CIPC, where this is necessary to complete your instruction.
6. Why we process your information
We use your personal information to:
- Provide the business registration, tax and compliance services you have requested.
- Prepare and lodge applications and returns with regulators on your behalf.
- Communicate with you about your matter, including updates, queries and reminders.
- Issue quotations, invoices and receipts, and collect payment.
- Comply with our own legal, tax and record-keeping obligations.
- Improve our services, our website and our customer support.
- Send you marketing about our services, where you have not opted out (see section 9).
We process this information on the basis of your consent, the performance of our agreement with you, our legitimate interests in running our business, and our legal obligations.
7. Who we share your information with
We do not sell your personal information. We share it only where it is necessary to deliver your service or where the law requires it, including with:
- Regulators and government bodies — such as CIPC, SARS, the Department of Employment and Labour (COIDA and UIF), the Department of Social Development (NPO Directorate), the National Treasury Central Supplier Database, PSIRA, the NHBRC, the CIDB, the NCC and the Masters of the High Court, depending on the service.
- Service providers — the providers who host our website and client management system, deliver our email, and process payments. They act on our instructions and are contractually required to protect your information.
- Professional advisors — our accountants, auditors and attorneys, where necessary.
- Legal authorities — where we are compelled to disclose information by law or a court order.
8. Where your information is stored
Your information is stored in our secure client management system and in our email and document storage systems. Some of these are cloud services whose servers are located outside South Africa.
Where personal information is transferred outside South Africa, we do so in accordance with section 72 of POPIA. We only use reputable providers who are subject to laws or binding agreements that give your information a level of protection comparable to POPIA. You may contact our Information Officer for more detail about these transfers.
9. Marketing communications
We may send you information about our services, compliance deadlines and special offers by email or WhatsApp, in line with section 69 of POPIA.
Every marketing email includes an unsubscribe link. You may also opt out at any time by emailing sales@bekinconsulting.co.za or replying “STOP” on WhatsApp. Opting out of marketing will not stop service messages about work we are actively doing for you, such as invoices, document requests and status updates.
10. Cookies and website analytics
Our website uses cookies to keep the site working properly, remember your preferences, speed up page loading and help us understand how visitors use the site. We may also use analytics services that set their own cookies to give us anonymous statistics about site traffic.
You can block or delete cookies through your browser settings. Some parts of the website may not work correctly if you do.
11. Our free business tools
The free tools on our website — including the VAT and PAYE calculators, the payslip generator, the invoice and quotation generator and the company name checker — run inside your own web browser. The figures and details you enter are not transmitted to us or stored on our servers, and any document you generate is created on your own device.
12. How long we keep your information
We keep your personal information only for as long as we need it, and for as long as the law requires. In practice this means:
- At least five years for client, financial and transaction records, in line with the Companies Act, the Tax Administration Act and the Financial Intelligence Centre Act.
- Enquiries that do not become clients — kept for up to two years, so that we can respond if you come back to us, and then deleted.
When information is no longer needed, we delete it or permanently de-identify it.
13. How we protect your information
We take appropriate technical and organisational measures to protect your personal information against loss, damage and unauthorised access. These include password-protected and access-controlled systems, encrypted connections to our website and client system, and limiting access to staff who need the information to do their work.
If a security compromise affects your personal information, we will notify you and the Information Regulator as required by section 22 of POPIA.
14. Your rights
Under POPIA you have the right to:
- Ask us to confirm what personal information we hold about you, and request a copy of it.
- Ask us to correct or update information that is inaccurate, misleading or out of date.
- Ask us to delete or destroy information we no longer have a lawful reason to keep.
- Object to us processing your information in certain circumstances.
- Withdraw your consent, where we rely on consent to process your information.
- Lodge a complaint with the Information Regulator.
To exercise any of these rights, contact our Information Officer at sales@bekinconsulting.co.za. We may need to verify your identity first. Please note that we cannot delete information we are legally required to keep, or information we still need to complete a registration you have instructed us to do.

15. Children’s information
Our services are intended for adults and for businesses. We do not knowingly collect personal information about children under 18 except where it forms part of an instruction you have given us, such as a trust registration naming minor beneficiaries, and then only with the consent of a competent person.
16. Changes to this policy
We may update this Privacy Policy from time to time. The current version will always be published on this page, with the “last updated” date at the top.
